What this covers
This notice explains what SEWA collects about you, where it's kept, and who can see it. It covers applicants, residents and every staff role with a SEWA account at a station running the platform.
What we don't collect
SEWA never stores your service number, rank or appointment. The one identifier tied to your record is a five-digit ID issued at your one mandatory visit to Station HQ — it carries no meaning beyond that.
What we collect
Your name, mobile number, date of arrival and entitlement category, entered at Station HQ; your housing application and any special-requirement proof, which is deleted once a quarter is allotted; complaint details and camera-captured photos, with GPS logged at a technician's check-in; and, if you're enlisted onto an engineering roster, verification documents — Aadhaar, police verification, residence proof and a photograph.
Where it lives
Resident data is stored on your colony's own server — one per residential colony, on the station's own premises, never in a commercial cloud — and it never leaves that server. The station-level dashboard sees counts and status only; looking into an individual record from there is logged and only for a justified reason.
How it's protected
Encrypted connections throughout, a locked network between colony servers, camera-only evidence capture so nothing is pulled from a gallery, and an audit trail of every action that nothing — not even an administrator — can edit or delete.
How long we keep it
Special-requirement proof documents are purged the moment a quarter is allotted. When you vacate your quarter, your personal data is anonymised on the server as part of closing out the record — irreversibly.
Who can see it
Only the roles involved in your case, and only what they need for it. A quartering committee reviewing your application sees your serial ID and your application, never your name or rank. Every account is issued by name, nobody registers themselves in, and access is checked at the server on every request — not just hidden in the screen.
